Trade name Quotum

Quotum is currently a provisional trade name and product name of Solvizen BV (in oprichting). The service is therefore legally offered by Solvizen BV (in oprichting), even when the name Quotum is used on the website and in the application.

In a later phase the service may be transferred to a separate company. When that happens, this legal notice will be adjusted and the users and customers concerned will be informed.

Activity and service

Quotum is software-as-a-service (SaaS) for syndicus offices and associations of co-owners (VME) in Belgium. The service supports, among other things, the management of buildings and lots, VME accounting, the preparation of settlements, the management of the general assembly and an online portal for co-owners and tenants.

The service is offered to professional customers (the syndicus offices). The specific terms, prices and service arrangements are set out in the agreement and the general terms and conditions between Solvizen BV (in oprichting) and the office.

Hosting and technical subcontractors

The application and the data are hosted within the European Union. For this, Solvizen BV (in oprichting) relies on a number of technical subcontractors (sub-processors), each bound by the applicable data protection rules. The current list, with status, is:

  • Supabase (database, authentication including two-factor authentication, and document storage): ACTIVE, EU (Ireland).
  • Vercel (application hosting): ACTIVE, EU (Dublin).
  • Vercel Web Analytics (aggregated visit statistics): ACTIVE but cookieless and first-party; this service does not use tracking cookies and only collects aggregated visit statistics once Vercel Pro Analytics is enabled.
  • Vercel AI Gateway (gateway for the optional AI assistant): NOT YET ACTIVATED; will only carry traffic upon activation of the Pro assistant Bizzy.
  • Brevo/Sendinblue (transactional email such as invitations and notifications): technically configured, used for system emails.
  • Mistral via Vercel AI Gateway (the optional Pro AI assistant Bizzy): NOT YET ACTIVATED.
  • Google Document AI (OCR of scanned invoices): NOT YET ACTIVATED.
  • Peppol access point (electronic invoicing): NOT YET ACTIVATED.
  • Combell (domain registration for quotum-web.be and quotum-app.be): ACTIVE.

Allocation of roles regarding personal data

For the personal data of co-owners, tenants, suppliers and the VME, the syndicus office (the customer) is the controller and Quotum/Solvizen BV (in oprichting) is the processor. Quotum/Solvizen BV (in oprichting) processes that data only on the instruction of the office.

For the office's own account and user data and that of its staff, Quotum/Solvizen BV (in oprichting) is itself the controller.

Cookies and local storage

The website and the application use only functional and strictly necessary cookies and local storage:

  • quotum_locale: remembers your language preference (functional).
  • sb-*: authentication and session cookies from Supabase (strictly necessary for signing in and the session; httpOnly, secure and SameSite).
  • Local storage (localStorage) for the display preferences theme and density, per device.
  • No advertising or marketing cookies are placed. The only analytics is the cookieless, first-party Vercel Web Analytics.

Intellectual property

The software, the source code, the design, the texts, the logos, the brand name Quotum and all other components of the website and the application are protected by intellectual property rights and belong to Solvizen BV (in oprichting) or to its licensors.

Any use, reproduction or distribution without prior written permission is prohibited, except for the normal use of the service within the limits of the agreement and the general terms and conditions.

Liability

Solvizen BV (in oprichting) strives to keep the information on the website and in the application correct and up to date, but cannot unconditionally guarantee its accuracy, completeness or continuous availability.

Solvizen BV (in oprichting)'s liability with respect to the service is governed by the agreement and the general terms and conditions with the office. This legal notice does not affect that.

Applicable law and supervision

The service and this legal notice are governed by Belgian law. For disputes, the competent courts are those of.

The competent supervisory authority for data protection is the Belgian Data Protection Authority (GBA) / Autorite de protection des donnees (APD), Drukpersstraat 35, 1000 Brussels (contact@apd-gba.be, www.gegevensbeschermingsautoriteit.be). A data subject always has the right to lodge a complaint with this authority.

Reference to the privacy policy

For all information on the processing of personal data (which data, purposes, legal bases, retention periods, recipients and the rights of the data subjects), we refer to Quotum's separate privacy policy. The processing arrangements between the office and Solvizen BV (in oprichting) are laid down in a separate data processing agreement (DPA).
